Gemini.ai: The Web Interface and Daily Workflow

The Gemini.ai Interface

Gemini.ai (gemini.google.com) is Google's primary interface for interacting with Gemini. It is cleaner and simpler than Claude or ChatGPT — a conversation panel on the right, a history sidebar on the left, and a featured prominently: access to your Google account context via Extensions.

The key structural feature: Gemini does not use Projects or system instructions in the way Claude does. Instead, context flows through Gems (custom AI personas with specific instructions) and Extensions (connections to your Google data). Understanding how to use both is the foundation for getting the most from the interface.

Google Extensions: The Killer Feature

Extensions are what make Gemini unique. When enabled, Gemini can read and reference your actual Google data in its responses. Available extensions:

• Google Search — Searches the live web for current information (enabled by default)
• Google Workspace — Accesses your Gmail, Google Drive, Docs, Calendar, and Tasks with your permission
• Google Maps — Provides location-based answers and directions
• YouTube — Summarizes and references video content
• Google Flights & Hotels — Provides real-time travel and accommodation data

To enable Extensions: go to Settings → Extensions in Gemini.ai and turn on the ones you want. The Workspace extension is the most powerful — once enabled, you can ask Gemini things like "summarize my three most recent unread emails" or "what meetings do I have tomorrow?" and it reads directly from your account.

Gems: Custom AI Personas

Gems are Gemini's version of custom instructions. You create a Gem by giving it a name, a set of instructions, and optionally some reference files. Once created, you can open a Gem conversation and Gemini will apply those instructions automatically.

Example Gem setups:

• Writing Assistant — Instructions for your preferred tone, style, and formatting rules
• Research Helper — Instructions to always cite sources, use a specific citation format, and summarize at a specific depth
• Meeting Prep — Instructions to always look up the person you're meeting with, draft an agenda, and pull relevant docs from Drive

Gems are available on Gemini Advanced. The free tier has access to some pre-built Gems (a coding helper, a writing coach, a brainstorming tool) but not custom Gem creation.

Building a Daily Gemini Workflow

The most effective daily Gemini habits are those that replace friction you already experience with Google Workspace:

• Morning briefing — "Summarize my unread emails from the last 12 hours and flag anything that needs a reply today." Gemini reads Gmail and gives you a prioritized list.
• Meeting prep — Before a meeting, ask Gemini to pull recent emails from the person you're meeting, find relevant docs in Drive, and draft an agenda.
• Research integration — Ask Gemini to search the web on a topic, then cross-reference it with a document in your Drive.
• Content drafting — Draft in Gemini.ai, then ask it to open the result in a Google Doc for editing and sharing.

The Conversation Memory Difference

Like Claude, Gemini does not have persistent memory across conversations by default. Each new conversation starts fresh. Gemini has a "Memory" feature that lets you explicitly save facts you want it to remember ("remember that I prefer bullet-point summaries over prose"), but this is a limited, manually-managed system — not automatic memory of your full history.

The practical implication: build your important context into Gems (custom instructions) rather than relying on memory. A well-constructed Gem with your preferences and working context is more reliable than hoping the memory feature captured what you needed.
