Gemini in Google Workspace: Docs, Sheets, Slides, Gmail

AI Inside the Apps You Already Use

Google has integrated Gemini directly into Workspace apps — you do not need to leave Docs, Sheets, Slides, or Gmail to access AI assistance. These integrations appear as a sidebar, a magic wand icon, or a dedicated "Help me write" / "Help me analyze" button depending on the app. The result is that AI assistance is available exactly where your work already lives, without the copy-paste cycle of switching between an AI chatbot and your productivity tools.

Access requires a Google Workspace plan with Gemini add-on, or Google One AI Premium for personal accounts. If you see a Gemini icon in the sidebar of any Google app, you have access.

Gemini in Google Docs

In Google Docs, Gemini appears in a sidebar and can:

• Draft from scratch — Give Gemini a prompt ("Write a 500-word introduction for a report on remote work trends") and it inserts the draft directly into the document
• Rewrite selected text — Highlight any passage, open the Gemini sidebar, and ask it to rewrite in a different tone or condense to half the length
• Summarize the document — Ask Gemini to give you a summary of what the document says, useful for long documents you need to review quickly
• Cross-reference Drive — Ask "What does our Q2 report say about this topic?" and Gemini searches your Drive for relevant documents

The most powerful workflow: draft in Gemini.ai (full conversation), then say "Open this in a Google Doc" and it creates the document for you. Finish editing in the Doc with the Gemini sidebar open for revisions.

Gemini in Google Sheets

In Google Sheets, Gemini's most useful capability is data analysis:

• Explain your data — Select a range and ask "What patterns do you see in this data?" Gemini reads the values and gives you an analysis in natural language
• Generate formulas — "Write a formula that finds the top 5 values in column C and shows the corresponding names from column A." Gemini generates the formula, which you can click to insert.
• Create charts — "Create a bar chart comparing monthly revenue by product category." Gemini generates and inserts it.
• Clean data — "Find cells in column B that look like they might have been entered incorrectly based on the pattern of the other values."

Gemini in Sheets does not execute code — it generates formulas and provides analysis. For complex calculations, it suggests the approach and writes the formula, but you review and apply it.

Gemini in Google Slides

Gemini in Slides is most useful for content and structure:

• Generate a presentation — "Create a 10-slide deck about the benefits of hybrid work for a management audience." Gemini produces a full deck with structure, headlines, and bullet points
• Improve a slide — Select a dense text slide and ask Gemini to rewrite it as concise bullet points
• Add speaker notes — "Write 60-word speaker notes for this slide that explain the chart to a non-technical audience"

Note: Gemini in Slides does not automatically source or generate images for your presentation. It handles text content and structure. For images, you need to add them manually or use a dedicated image generation tool.

Gemini in Gmail

Gmail's Gemini integration is one of the most practical because email is where most people spend the most time:

• Summarize long email threads — Click "Summarize this email" and Gemini reads the full thread and gives you a one-paragraph summary of the key points and any action items
• Draft replies — "Help me write" in the compose window. Gemini drafts a reply based on the context of the email you're responding to
• Generate from scratch — "Write a follow-up email to a client who hasn't responded in two weeks, professional but warm"
• Search with natural language — In the Gemini sidebar within Gmail, ask "Show me emails from the last month about the marketing budget" and it searches your inbox

When In-App AI Beats the Chatbot

The in-app Gemini integrations win over the chatbot when: you need the output to land directly in a document, you want Gemini to reference your actual Google data in context, or you are doing revision and editing work (selecting text and asking for rewrites is much faster than copy-pasting to a chatbot).
